Guest policies
Everything that governs a stay at Cedar Grove, in one place. Most guest questions are answered somewhere on this page, and if yours isn't, call us.
Guest policies
These policies are part of your rental agreement. The agreement you sign at booking governs if the two ever differ. Tell us and we will fix the discrepancy here.
Reservations
- Half of the total rental fee confirms your reservation. We accept bookings up to two years in advance.
- The remaining balance is due 30 days before arrival.
- You must be 21 or older to rent a cabin, and 25 or older to rent a lodge. The person who books must be staying on the property.
- Phone and online reservations are confirmed once payment is accepted and you have agreed to these policies.
Payment
- We accept Visa, MasterCard, American Express, and Discover.
- Other payment methods can be arranged, but require an additional security deposit.
- We keep a card on file for the length of your stay. Charges for damage or missing items are applied to it.
Cancellation
- More than 30 days before arrival: refund of everything paid, less 10% of the total reservation.
- 14 to 30 days before arrival: 50% refund.
- Fewer than 14 days before arrival: no refund.
- There are no refunds for weather or power outages. Hocking Hills weather turns quickly, and we are not able to resell a cabin on short notice.
Because the cancellation window is firm, travel insurance is worth considering for trips booked far ahead or built around a specific event. Policies that cover cancellation for any reason are widely available and are not something we sell or administer.
Check-in and check-out
- Arrival: after 4:00 p.m.
- Departure: before 11:00 a.m.
- Early arrival or late departure of up to two hours may be available for a $25 fee for cabins or $200 for lodges. Ask in advance. It depends on the turnover that day.
- Before you leave, please run the dishwasher, bag your trash, and lock up.
Occupancy
Every cabin and lodge has a maximum occupancy, and that number includes everyone, regardless of age. Infants and children count.
Occupancy limits come from septic capacity and fire code, not preference, so we are not able to make exceptions. If your group has grown since you booked, call us. With eight units on the property we can usually add a cabin.
Visitors and vendors
- Only registered guests may be on the property. Daytime and overnight visitors must be approved in advance.
- Approved daytime visitors are $20 per person, per day.
- Unauthorized guests are charged the visitor fee plus a $75 penalty for each occurrence.
- Vendors, including caterers, photographers, and anyone else providing a service, need approval in advance and must sign the Cedar Grove vendor agreement before arriving.
Pets
Several of our cabins are pet-friendly and come stocked with paw towels, a blanket, and waste bags. Pets must be approved before arrival and the pet fee paid.
- An unauthorized pet is charged the pet fee plus a $75 penalty.
- Pets may not be left alone in a cabin unless they are crated.
- Please clean up after your pet anywhere on the property.
Events and camping
- Weddings, receptions, reunions, and corporate gatherings are welcome, but they need to be booked as events rather than added to a lodging reservation.
- No tents, event tents, RVs, or campers are permitted anywhere on the property. This is a health department and insurance requirement, not a preference.
Hot tubs and equipment
Hot tubs are drained, scrubbed, and refilled between stays, so the water is fresh when you arrive. Please shower before getting in, keep glass out of the tub area, and replace the cover when you are done. It keeps the temperature up and the leaves out.
We service everything on a schedule, but things do occasionally fail. We will get a technician out as quickly as we can. We are not able to offer rental concessions for a hot tub, appliance, television, satellite, internet connection, or HVAC system that stops working during a stay. Fireplaces are operational September through April.
Fire and firewood
- Campfires are permitted only in the fire pit provided at your cabin or lodge.
- Burn firewood only. No pallets, brush, trash, or construction scrap.
- Never leave a fire unattended, and make sure it is completely out before you go inside or leave the property.
- No fireworks, firearms, or guns anywhere on the property, at any time.
Parking and vehicles
- Keep vehicles on the driveways and parking areas. The grass hides septic lines and soft ground.
- No ATVs, four-wheelers, golf carts, trailers, motorcycles, or other recreational vehicles may be used on the property.
- Four-wheel drive is a good idea when there is snow on the ground. The drives are hilly and rural.
Quiet hours and privacy
Cabins here are spread across 65 acres, but sound carries in the woods. Please keep noise to a reasonable level, and especially so between 10:00 p.m. and 8:00 a.m.
- Please stay away from other guests' cabins and their fire pits.
- Do not trespass on adjoining properties. Our neighbors are not part of the resort.
Smoking
Every indoor space at Cedar Grove is non-smoking. That includes cigarettes, cigars, e-cigarettes, vaping, and marijuana. Smoking indoors results in a $500 cleaning fee, because it takes the unit out of service until the smell is gone.
Damage and liability
- Damage to the property and missing items are charged to the card on file. Tell us if something breaks. Accidents happen, and it is far easier to sort out while you are still here.
- Please do not move furniture or decor between rooms or cabins.
- Do not disconnect or rewire televisions, satellite receivers, or other electronics. The welcome book in your cabin explains how everything works.
- Posted safety rules apply everywhere on the property.
- Guests assume responsibility for any accident, injury, or damage to themselves or their property. Cedar Grove Lodging and its agents are not liable.
Out on the property
- Fishing pond: catch and release only, for registered guests. No fishing license needed, and no swimming.
- Hunting: not permitted anywhere on the property, in any season.
- Insects and wildlife: we treat the buildings regularly, but this is 65 wooded acres. The occasional spider or ladybug is part of the setting.
Other terms
- Lost and found: we will look for anything left behind and ship it back at your expense.
- Renovations: we update paint, decor, furniture, appliances, flooring, and amenities as needed, and reserve the right to do so at any time.
- Photography and video: please ask in writing before publishing photos or video of the property or of events held here.
